This covers getting products into MediStack and keeping them up to date, including items that aren't yet on your formulary.

Two different things: the product catalogue and your clinic's prescribing list

The product catalogue is the shared regional list of every product that exists on the platform. Only MediStack adds, edits or removes entries here — send us the details and we'll do it (see below).

Your clinic's prescribing list (formulary) is which of those catalogue products your own clinicians can prescribe. Team members given formulary management access can switch a product on or off your prescribing list themselves from the product list, including setting your price. If nobody on your team has that access and you'd like it, contact [email protected].

A product we want isn't in the list we can add from

Some catalogue products are held back from clinic prescribing lists centrally, so they don't appear in the list your team can add from even with formulary management access. That is a platform-level setting rather than anything on your side, and only MediStack can change it. Send us the product (brand, name, strength and pack size) and we'll check whether it can be released for your clinic.

Why a product might not appear when prescribing

If a product isn't on your clinic's prescribing list, it won't be offered to your clinicians when they write a script, and anything that is selected alongside the product — such as an Authorised Prescriber approval to prescribe under — won't be offered either. Getting the product onto your prescribing list, then writing the script, is the way to resolve that.

How do I add a new product?

Send MediStack support the product name and RRP (and strength/pack size where relevant) for each product you'd like added, and we'll add them. If a product already exists under a slightly different name, let us know and we'll confirm rather than create a duplicate.

Products in a form we don't hold limits for (for example suppositories or pessaries)

Prescribing limits are set by product form (flower, oil, capsule and so on). If you ask for a product in a form MediStack doesn't yet carry standard UK limits for — suppositories and pessaries are an example — we'll ask whether it should simply be treated as an existing form (for instance as a capsule, so your existing capsule limits apply) or listed as its own form. Because the formulation is different, clinics often prefer the product listed separately. In that case we add it under its own form, and your clinicians set up the prescribing limits for that form themselves in MediStack before it can be prescribed. A product that serves as both (for example one suppository/pessary used either way) is listed once.

A product isn't on the formulary — how do I add it?

If the product already exists in the catalogue and appears in the list you can add from, a team member with formulary management access can switch it on for your clinic directly. If it doesn't appear there, or the product doesn't exist on the platform at all, send us the product details and we'll take it from there.

Editing a product's strength, description, name or price

Send the product and the change required (new strength, description, name or price) and we'll update it.

The listed name doesn't match the stock we've received (for example "Smalls")

Sometimes a listing carries a descriptor — most commonly "Smalls" — that isn't on the product you've actually taken in. Tell us the product as listed, what the packaging says, and confirm the pack size, strength and price are otherwise the same. Because listings are shared across the region, we check our own record and the published product information before changing anything, and these two sometimes disagree with what the supplier is shipping. If they do, we'll ask you to confirm with the supplier or the dispensing pharmacy — what's printed on the packaging and what appears on the supplier's stock list are what settle it. Once confirmed we correct the name and leave strength, size, price, species and irradiation untouched.

A product's species (indica / sativa / hybrid) looks wrong

Send us the exact product — brand, strain and strength, as the same strain often exists under several brands with different details — and tell us what classification you believe is correct and where you've seen it. We'll check it against the published product information for that brand and correct the listing if needed. Irradiation type (beta, gamma or non-irradiated) can be checked the same way.

Irradiation types, and what "E-beam" means

Products are recorded as beta irradiated, gamma irradiated or non-irradiated. Suppliers sometimes describe a product as "E-beam" (electron beam) irradiated — this is beta irradiation, so those products are listed as beta irradiated. There is no separate E-beam option to look for, and nothing extra is needed from you: send the supplier's wording and we'll record it correctly.

Supplier "new product launch" emails

If a supplier (for example Curaleaf, Huala or Hilltop Leaf) announces a new product, forward the details to support and we'll add the items to your catalogue.
