Checking stock
Stock levels are visible against your products. Items that run low or out are surfaced so you can reorder.
Stock on hand vs Available
Each batch shows two figures:
Stock on hand — the total number of units physically held in that batch, including any units already set aside for orders that have not yet shipped.
Available — Stock on hand minus the units currently set aside for open orders. This is the figure patients can order against.
So a batch holding 9 units with 1 reserved for an open order shows 9 on hand and 8 available. Reserved units are released from the batch when the order ships, at which point Stock on hand drops by the same amount.
Editing Stock on hand
You can edit Stock on hand on any batch at any time — this is never blocked or restricted. Enter the full physical count of units held in that batch, including any already set aside for open orders. Each edit is recorded as an adjustment in the batch's stock movement history alongside deliveries booked in and units booked out.
If a batch figure doesn't match your own count
Check the figure against the individual batch rather than the product total — a product often has several batches, some sold through to zero. It is also worth confirming that every recent delivery has been booked in. Do a physical recount before adjusting the figure, and if a batch still looks wrong, contact [email protected] with the product and batch number and we'll look at its movement history with you.
The out-of-stock report
The out-of-stock report lists items currently unavailable. It's produced as part of your standard reports (see Understanding your standard reports).
